What is a domain with email?

A domain with email combines two services that are usually separate: the registration of your own domain and the operation of an email mailbox.

The domain is your individual address on the Internet, for example:

meinefirma.de

With an associated email mailbox you can then create addresses under that domain, for example:

• info@meinefirma.de
• kontakt@meinefirma.de
• support@meinefirma.de
• max.mustermann@meinefirma.de

Relevant offers from hosting providers are therefore often not listed under “domain with email”, but under terms such as email hosting, mail hosting, email package or business email.

The technical product is usually an email hosting plan – from the user’s perspective this gives you exactly what you need: a domain of your own with a matching email address.

How does your own domain with an email address work?

After ordering, the provider registers the desired domain for you, or you connect an existing domain to the email service.

In the customer area you can then create the desired email addresses and mailboxes. Depending on the plan, you can set up individual personal addresses as well as general addresses for specific tasks or departments.

Messages are stored on the hosting provider's mail servers. You can usually retrieve them afterwards via webmail, on your smartphone, or with an email client such as Outlook, Thunderbird or Apple Mail.

Use a domain for email without a website

A domain does not necessarily have to be connected to a website. You can easily use a domain solely for your email communication.

If you only need an address such as name@nachname.de or kontakt@unternehmen.de, a comprehensive web hosting package is often not necessary.

A Business email under your own domain looks more professional, especially for businesses, sole traders and associations, than a free address from a general mail service.

With your own domain you can create different addresses following a consistent scheme. This is particularly useful for businesses with multiple employees or departments.

What should I look for in a domain with email?

A low monthly price alone doesn't say much about how well a plan meets your requirements. When comparing, you should pay particular attention to the following points.

1. Is the domain actually included?

Check whether your own domain is actually included in the plan price and which top-level domains are offered. Commonly searched extensions include .de, .com, .net and .org.

2. Number of email mailboxes

Some offers include only a single mailbox, while other plans allow multiple or many mailboxes.

For a private address a single mailbox is often sufficient. Businesses, however, should consider how many employee and role addresses will be needed in the long term.

3. Email storage

Storage determines how many messages and attachments can be stored in the mailbox. If you regularly receive large files by email, you'll need more storage than someone who mainly exchanges short text messages.

4. IMAP and SMTP

If you want to use your email address in Outlook, Thunderbird, Apple Mail or a smartphone app, the common mail protocols are important.

IMAP allows synchronised access to the mailbox from multiple devices. SMTP is used for sending messages.

5. Webmail

With a webmail client you can open your mailbox directly in the browser. This gives you access to your messages even without a configured email client.

6. Spam and virus protection

A good email hosting plan should provide basic security features against spam and malicious messages.

Pay attention to what costs arise after a promotion ends and, in particular, how high the renewal costs for the domain will be.

A domain with multiple email addresses

A single domain can generally be used for multiple email addresses. How many of these can be set up as independent mailboxes depends on the plan you choose.

Many providers also offer so-called email aliases. An alias is an additional email address that forwards messages to an existing mailbox.

If, on the other hand, you want to provide different employees with their own login details, you will normally need several separate mailboxes.

Domain with email for businesses

For freelancers and businesses, having your own domain with individual email addresses is particularly attractive. In addition to a professional appearance, different addresses can be set up for employees and business units.

Larger teams, however, often require additional features, for example:

Use an existing domain with email

Your domain and email hosting do not necessarily have to be with the same provider. If you already own a domain, you can often use it with a separate email hosting plan.

To do this, the domain's DNS settings are updated with the so-called MX records. These specify which mail servers are responsible for receiving messages for your domain.

Get a domain with email cheaply

If you don't need a website, an email hosting plan is often the simplest way to set up your own domain with a professional email address.

For a meaningful price comparison you should not only look at the advertised introductory price but consider the overall services included:

• monthly or annual plan price
• included domain
• price for domain renewal
• number of email accounts
• storage space
• aliases and forwards
• spam and virus protection
• contract length

A particularly cheap plan can become more expensive in the long run if additional mailboxes, storage or domains need to be added at extra cost.

Domain with email for free — is that possible?

A permanently free combination of your own domain and professional email hosting is uncommon. Domains incur registration and renewal costs that the provider has to account for in some way.

However, there are sometimes promotions where a domain is offered free or heavily discounted for a limited period.

Free email services are different. There you usually get an address under the provider's domain. An address such as:

myname@provider.co.uk

is therefore not the same as an address under your own personal domain:

myname@mydomain.co.uk
